There is a slight adjustment to our interview process timeline for the Travel Drumheller Exploration Guide RFP. Due to scheduling changes, interviews will now take place during the week of September 16, 2024. The final selection will be made on September 20, 2024.
We’ve compiled responses to the questions received for our Travel Drumheller Exploration Guide RFP. These cover details like budget ranges, content delivery, design preferences, and project scope. Highlights include using our extensive image bank, handling ad sales internally, and a preference for North American companies.
Budget and Costs
- Past Budget Range: The design of the visitor guide, including ad design, has historically been between $10,000 – $15,000 CAD.
- Cost Breakdown for Advertisers: Each advertiser requiring ad creation will need to cover the associated costs. Advertisements should be quoted separately for each size.
Assets and Content
- Photography Image Bank: We have an extensive image bank available for use; no new photos should be necessary.
- Stock Imagery: If stock imagery is needed, it must be approved by Travel Drumheller. However, you shouldn’t need stock images due to our image bank.
- Provided Assets: Copy for the articles, fonts, and images will be provided.
- Content Delivery: Content (text, images, advertisements) will be provided in phases.
- Style Guide: This will be used for internal edits after the final project handoff, with creative liberty allowed as long as the brand remains intact.
Project Scope and Deliverables
- Primary Goal: The main objective is to refresh the Exploration Guide, making it clear, easy to read, and user-friendly.
- Target Audience: The guide primarily targets travel planners aged 25-65, with a particular focus on women.
- Languages: The guide will be in English only; no translations are required.
- Document Size and Page Count: We are open to exploring new document sizes and page counts. The previous version is a 8.25”W x 10.75”H with roughly 40-50 pages
- Final Deliverables: Both print-ready and web-friendly formats are required.
- Printing and Proofing: Travel Drumheller will handle proofing and printing; we are open to working with new printers.
Design Preferences and Guidelines
- Brand Guidelines: Please refer to the guidelines provided at Travel Drumheller RFP Collab.
- Design Preferences: While we are not looking for a full rebrand, we are open to ideas for modernizing our brand identity, including the script typeface and logo elements.
- Creative Elements: Maps are particularly popular with our audience, and this feature should be maintained or enhanced.
Process and Collaboration
- Bidding Process: Preference will be given to North American companies.
- Project Execution: Delivery will be digital.
- Collaboration: We envision a highly collaborative process to ensure smooth execution. The Marketing Manager will have the final say in the decision-making process.
- Review and Feedback: We expect several rounds of revisions, with the process managed collaboratively.
- Final Decision: The final decision will be made using a point system, and ideally, three organizations will be selected for candidate interviews.
- Decision Maker and Point of Contact: The Marketing Manager, Keri Looijen, will be the primary point of contact and will make the final decision.
- On-site Meetings: No on-site meetings are required, but designers are welcome to visit the area to get a better feel for it.
Additional Considerations
- Advertisements: Travel Drumheller will handle ad sales internally, covering the costs paid to the designer. To ensure accurate cost recovery from advertisers, each ad size should be quoted separately.
- Accessibility: We are looking for an accessible digital guide but do not have specific accessibility requirements.
- Online Strategy: The guide will primarily serve as an informational resource with a goal of achieving over 20,000 views online.
Miscellaneous
- Accurate Website Content: Yes, the content on the Travel Drumheller website is current and accurate.
- Web-Friendly Formats: A compressed version of the guide will be needed for our website. You can view an example of the 2024 guide here.
